Own The Drill

Privacy Policy

1. Who we are

Own The Drill is a free training app for youth sports teams. Players log their training and challenges, earn points and follow their team's standings. It is run by Mario Fiorucci in Toronto, Ontario, Canada ("we", "us"). Mario is responsible for how Own The Drill handles personal information. Contact: info@ownthedrill.com.

This policy explains what we collect, why we collect it, who can see it, how long we keep it and what choices you have. Most players are under 18, so we collect as little as we can.

2. What we collect

About players:

  • First name, last initial, jersey number and position, entered by the coach.
  • A username and a PIN. We store the PIN only in scrambled form (a hash), so nobody, including us, can read it.
  • Training and game activity: sessions attended, effort ratings and notes from the coach, home training, challenge results, personal bests, points, game minutes and statistics, and the game notes a player writes.
  • A trust score, worked out from the player's approved and rejected results. The app uses it to decide which results the coach checks first.
  • A profile symbol, if the player picks one.
  • Links to videos, if a player chooses to add them. The videos stay on the site that hosts them.
  • The days the app was opened and when the player last logged in.

About coaches: name, username, PIN (hashed), the teams they coach, any image they upload for the team banner, and the actions they take in the app.

What we don't collect: players' last names, birthdates, photos, email addresses, phone numbers or location, or any details about parents.

Technical information: our hosting provider's servers keep standard logs (IP address, browser type, pages requested and the time) to keep the service secure and to fix problems. The app keeps your login and settings in your browser's local storage. We use no advertising or tracking cookies, no analytics and no third-party scripts.

3. How we use it

  • To run the app: points, standings, challenges and feedback for players and coaches.
  • To keep it secure: lock an account after repeated wrong PINs, keep a log of actions in the app, and look into misuse.
  • To fix problems and improve the app.

We never sell personal information, never show ads and never share it for marketing.

4. Children and parent consent

Players are usually under 18. Before a player can use the app, the coach must confirm that a parent or guardian has agreed, and must record that in the app. A player can't log in until the coach has done so. A parent can withdraw consent at any time by telling the coach or emailing us, and the coach then deactivates the player.

5. Who can see what

  • Teammates see a player's first name, last initial, jersey number, symbol, points and place in the standings, the team feed and the Hall of Champions. The standings never show the bottom of the table.
  • The team's coaches see everything about the players on their team.
  • We can see all data, and use it only to run, support and protect the service.
  • No one outside the team sees a player's information. The public demo team on the website, Real FC, and its players are fictional.
  • Coaches can download their team's data. They must keep that copy safe.

6. Service providers

Our hosting provider, Rebel.com, stores the app and its database on servers located in Canada, but may be mirrored outside of Canada. No other service receives players' information. If a player adds a link to a video on another site, such as YouTube, that site's own privacy policy applies. Players should keep those videos unlisted.

7. How long we keep it

We keep a player's information while the player is on an active team. When a coach removes a player or closes a team, we keep the information for 12 months, so a returning player can pick up their history, and then we delete it. Backup copies are overwritten within 90 days after that. A parent can ask us to delete it sooner (see section 9).

8. How we protect it

  • Every connection to Own The Drill is encrypted (HTTPS).
  • PINs are stored hashed with a secret key. After 5 wrong PINs, an account locks for 15 minutes.
  • Each coach sees only their own teams.
  • The server and its backups are protected by our hosting provider.

If a breach ever creates a real risk of significant harm, we will tell the affected families and the Privacy Commissioner of Canada, as the law requires.

9. Your rights

A player, or a parent or guardian, can ask to see the information we hold, have it corrected or deleted, and withdraw consent at any time. Ask the coach, or email info@ownthedrill.com. We reply within 30 days. If you're not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

10. Changes to this policy

We will post any change on this page with a new date. For important changes, we will also tell coaches in the app before the change takes effect.
